Assessment overview
This assessment follows on from Assessment 1. In this task you will take on a more strategic role
for CMP. The purpose is for you to demonstrate skills in analysing and forecasting future sales
trends utilising an Excel spreadsheet. You will also be expected to demonstrate research and
written skills in responding to specific queries raised by the General Manager and finally, you will
be asked to make recommendations combining an analysis of your spreadsheet and your
research.

This assessment is based on the following case study:
Combined Milk Products Pty Ltd (CMP)
Combined Milk Products Pty. Ltd. (CMP) was founded in 1963. From humble beginnings as a milk
processor for the local dairy farmers, the company has grown into a multi‐million dollar mixed‐
product firm with a strong penetration in the Australian market, and a developing export business.
CMP produces a large range of milk products such as whole milk, reduced fat, skinny, flavoured etc.,
and also butter, cheese, yoghurt, and dried milk.
The operational information required to run the company, such as sales trends, distributor
information, promotional information and so on, are not always documented well with some key
information known only to a few senior employees. Although the company has a website it only
includes basic information such as contact details and product types so it is unclear whether this
website generates any new business. In fact, CMP uses very little marketing and although they have
been quite successful to date by relying on word of mouth, the General Manager, Michael Johnson,
believes more can be done in this area.

1 Introduction
This report is based on the dairy products company, Combined Milk Products Pty Ltd
that was found in 1963 in Victoria by a former East Gippsland farmer Peter Frost.
Now a multi-millionaire business, it started as a milk processor for the local dairy
farmers. After penetrating in the Australian market, it is now starting to export the
products; which are not only milks of different types but also some other milk derived
products such as cheese, butter and yogurt.
With the increase in volume of the business, company has made different
departments for each activity (value chain) to make the process smoother and
profitable. Logistics department under the procurement brings thousands of litres of
milk from local designated farmers to the processing plant in spotless stainless
tankers.
Then
milk
under
goes
operational
steps
of
pasteurisation
and
homogenisation, after which it goes through quality assurance steps and other
processes for different products. Later, products are packed and stocked in
warehouse for logistics department to make the deliveries to super markets and
other customers. Accounts department looks after the payments to suppliers and
credits from customers.
The operational staff in the processing factory keeps the supplier, manufacturing and
distributor details, while the sales team keeps the record for sales data. With the
advancement in technology and to enhance the business I have explained how
process modelling can be used to get the best results from operations. This report
suggests the usage of software tools for better business intelligence to support
strategic decision making. It also recommends some Web 2.0 tools for the
collaboration with in the organization as well as outside.
2 Business report
Below are some facts, findings and recommendations for CMP business;
2.1 Business processes
To make a product, a series of steps are untaken from start to the final stage of the
product; these steps make a business process. In other words, a business process is
standardised set of activities that accomplish a specific task (Baltzan, Lynch &
Blakey 2015, p. 169).

At CMP, we need to have a documented business process for the production of all
products in form of a process model. These days a business needs to certify that it is
accomplishing the best results with the assets available. There is no space for
inefficiencies and wastage. Process models permit examination and comprehension
of the procedure streams and helps authorities know whether there is space for
further streamlining and efficiencies. It helps spot required upgrades and lessen
procedure process duration.
Once a business process model is developed, it can be reviewed periodically to
anticipate bottlenecks, eliminate duplicate activities, combine related activities and
identify smooth-running processes. To stay competitive, organisations must optimise
and automate their business processes. Organisations are only as effective as their
business processes. Developing logical business processes can help an
organisation achieve its goals (Baltzan, Lynch & Blakey 2015, p. 169).
Managers and MIS are responsible for; revision and improving of existing process
models, making of alternate, effective and adaptable business processes according
to the changes in the demand of the time, customers and market. Improving the
business process by automating the operational steps for the production in the
company can save time and cost; like making a system in which customer orders
directly go to both sales team and production team so exact amount of product is
made without sales teams ordering the production.
Streamlining the business process is very important. It improves the business by
removing the repetitive tasks and bottlenecks. It helps to reduce the product wastage
as well, thus saving the operational cost and time. At CMP, it can be done by
regularly updated the stocks in warehouse, and accounts department checking the
credits for customers; not the both accounts and sales.
2.2 Business Intelligence
Business intelligence (BI) is information collected from multiple sources such as
suppliers, customers, competitors, partners and industries that analyses patterns,
trends and relationships for strategic decision making (Baltzan, Lynch & Blakey
2015, p. 13).

BI is the accumulation of devices and procedures that are utilized to assemble
information and transform it into important data that individuals can use to settle on
better choices (Foley & Guillemette 2010). A business can use BI to analyse internal
data from company like sales, suppliers and customers along with external data such
as market rates and competitors. Analysing both the internal and external data
information can help to make strategic decisions. Incorporating the internal and
external variables through BI can anticipate the business performance.
Through technology and software tools, businesses are able to access and analyse
the data and information for decision making. For an organisation to succeed every
department in the value chain must work together, information technology has
enabled the departments to collaborate and share data more efficiently.
Microsoft SharePoint is an important tool in this digital age for sharing, storing and
accessing data for an organisation; data can be accessed by all authorised parties
i.e. suppliers, clients and internal departments. Microsoft Access and Microsoft Excel
are prominent features of Microsoft SharePoint for data sharing. Both Access and
Excel has a key part in the arrangement in the middle of customer and server
Business Intelligence, and give the capacity to uncover information inside
SharePoint destinations (Mann 2011). For example, worksheets in excel can be
distributed as a SharePoint list in which the information can be updated and
accessed by different clients.
At CMP, Microsoft Excel worksheets can be used for storing and updating the
information for products orders, products in stock and future sales. Then these
information can be accessed by relevant parties through SharePoint; for example,
supplier can see how much milk he needs to send, production staff can see the
orders for the products and sales team can update the sales data.
Sales and accounts departments can also use the MS Excel to make the sales &
profit reports and other financial reports.
2.3 Web 2.0 applications
Web 2.0 (or Business 2.0) is the next generation of internet use—a more mature,
distinctive communications platform characterised by new qualities such as
collaboration and sharing. Web 2.0 encourages user participation and the formation
of communities that contribute to the content (Baltzan, Lynch & Blakey 2015, p. 66).
As the prominence of Web 2.0 has developed, organisations have noticed the

exceptional buyer engagement and imagination encompassing these advancements.
Numerous associations, quick to bridle Web 2.0 inside, are exploring different
avenues regarding the instruments or conveying them on a trial premise (Schmidt
2010).
Successfully using the Web 2.0 technologies may support cooperation in the tasks
and thought sharing, thus creating a pool of information within the organisation. They
can also be helpful in bringing more workers into day by day contact at lower price.
