For my interviews I purposely chose three mature women who have worked
over 30 years in their respective industries. These women began working when
computers were not used for individual use in businesses. All work had to be
hand typed and filed using hard copies. Now, all three women’s jobs are
dependent on computer/information technologies. I also purposely conducted
my interviews on individuals with different customer base to expound on the
different types of businesses. These interviews were conducted face-to-face.
Interview one. According to FleetPride, it is the largest distributor of truck
and trailer parts in the independent heavy duty aftermarket channel. Supplying
remanufactured parts for trucks and trailers repair. Heavy duty trucks and
trailers are the only vehicles they work on from brakes, drivetrains, and
hydraulics to suspensions, engine components and electrical applications.
FleetPride is in the freight economy industry ensuring parts are available for
vehicles that move products, remove snow, haul gravel, and help fight fires to
name a few. Ms. Manning works in their accounts receivable and commercial
collections department. This is within the accounting portion of their
enterprise resource planning (ERP) system at FleetPride. She uses a desktop
computer with JD Edwards AS400 software with two other legacy software
systems. Her primary job is to review thousands of customers account data
within the systems and make personal telephone calls to try and collect
overdue invoices. Ms. Manning is not responsible for the collection, input,
storage or dissemination of the date that she reviews. She is not aware of the
business intelligence, customer relations management, ethic policies and
procedures on date collected, or law of system entropy which she imagines is
maintained at corporate management levels of FleetPride or within the IT/MIS
departments. FleetPride uses the JD Edwards AS400 system for all portions of
their ERP internal business processes. It maintains an extensive catalog
management website for parts and services they supply. One positive aspect
about FleetPride’s old inventory is they sell it at a reduced price reducing their
stock.
Interview two. According to American Electric Power (AEP) Texas, it is part
of the American Electric Power System which is one of the largest electric
utilities in the United States. AEP Texas is an investor owned electric utility
company who is connected to and serves over one million consumers in a
deregulated Texas marketplace. As an energy delivery (wires) company they
deliver electricity to homes, businesses, and industries across Texas. AEP Texas
is in the electrical utility industry. Ms. Wright works as a customer service
account representative ensuring all public utilities complaints are answered.
These complaints can range from rates, high bills, and meter access issues. She
works with all dotted line employees to schedule appointment to resolve
customer related issues, handles reliability issues, and concerns. She works
extensively with builders and developers through the process to get their
electric meter installed. She uses a laptop that is connected to a docking
station with MACCS (customer service) software which is part of their ERP
system. Ms. Wright is required to take annual ethics training, information
security training, and is bound to a strict code of ethics within AEP Texas. She
is not aware of the business intelligence, customer relations management, or
law of system entropy which she imagines is maintained at upper management
levels of AEP Texas or within the IT/MIS departments. She is aware of the ethic
policies and procedures on date collected in her department. AEP Texas sells
their product/service through their website however, cities like Corpus Christi
has no other competitors who compete with AEP Texas.
Interview three. Pacesetter Steel Property Management LLC is an on-line
resource company who manages properties and is a division of Caldwell Banker.
Pacesetter Steel Property Management is in the real estate industry. Ms.
Herbert is the Property Manager for numerous Home Owner Associations (HOAs)
around the Coastal Bend. She is responsible for the accounting and finance for
each HOA using their approved software systems and provides reports to each
HOA too. Ms. Herbert is the first person called if anything should go wrong or
needs repair at each HOA. She contacts, gathers bids and hires contractors at
the approval of each HOA Board of Directors and reconciles their bills. Also,
she attends each HOA’s monthly meeting providing financial reports,
contractors progress, insures each HOA is managed within the laws of the State
of Texas. Ms. Herbert uses business intelligence with different software to
collect, post, and reconcile HOA dues, bills, and taxes. She uses CRM for each
HOA when payments, balances are updated and published. The computers have
layers of security to protect the HOA’s information and are backed up daily.
There are policies and procedures in place to protect information and she
completes ethics training annually. Lastly, Pacesetter Steel has a website for
rental homes however this is not part of Ms. Herbert job.
From the first interview I learned that a large amount of data is used to
collect overdue invoices. This data is read only for the employee and additional
systems have to be used to document the transactions. The company could
incorporate the two older systems into the main ERP for ease of data access by
the CFO or other management who may need it without going to three systems.
From the second interview I learned that the laptop which is connected via a
docking station is portable for individuals that have to work in the field with
customers and have access to all pertinent data. Also, due to the fact that data
is collected and used by this department, additional training and measures are
in place to facilitate the integrity of the employees. When AEP Texas was
bought by AEP, the employees had to adapt to the ERP system used by their
parent company.
From the third interview I learned that the smaller the individual office the
more hands on of the systems software individuals are involved in. Knowing
personally who manages their systems, what security measures are in place,
and how the information is secured and updated is another aspect of a smaller
office. Also, working with individual HOA’s and having to learn their preferred
software opposed to an ERP for large companies/businesses is more personal.
What I learned from all interviews is that companies/businesses nowadays are
dependent on information technologies and the individuals who manage the
information systems. There is no going back to pen, paper and hard file to
maintain efficiency and be effective.
I invited three friends to take the interview research, they are Katherine, Fiona and
Imelda. Two of them are still studying in the university while Imelda was graduated last
semester and she has already found an internship in a finance company. Both Katherine
and Fiona are working on campus as Katherine is working as student assistant and
Fiona’s work is to advocate students in CASA.
For Imelda’s work, firstly she needs to clock in and out every day when she goes to
work and ready to get out of the company, which concludes a kind of inputting process
allows the employers to know the attendance of their staffs. And the timetables from the
employees can directly affect the salaries sent to them at the end of each month since the
wages are paid by hours and the records of staffs walking in and out are stored in the
database of the company. As Imelda said, her company has their own enterprise software
to edit and store customers’ personal information and data. In my knowledge, most
companies have their own software, but they are similar to use. Although it is not such a
big company that has a lot of branches all over the world, they still have their unique eBusiness system. In addition, she has to take the call from customers and according to
their requirements, to find the information they would need in the computer system,
which is in the form of outputting somehow. If it is the future customers calling, Imelda
would need to put in their personal details into the system as well. Above all, it is also
quite vital to keep these customers’ information safely, which is the matter of security
management of information technology required. Recently, some new laws have been
created to protect individual privacy, such as Gramm-Leach-Bliley, the California
Security Breach Law, Securities and Exchange Commission Rule 17a-4 and so on.
Besides, there is a law named Sarbanes-Oxley, which is known as the Public Company
Accounting Reform and Investor Protection Act of 2002. And this law is aimed to help
with the safety of the internal shareholders’ equity. On the other hand, she uses Microsoft
office so often that normally she needs to open excel and word documents every single
day when she works.
As to Fiona and Katherine, they both took online training before they really started
working because there were some more rules and instructions about the school systems
they would need to know so that they could follow the rules of the educational system.
Because Fiona is the student advocate in CASA center, the main concept of her work
is to search students’ grades and make contacts with them. If any students are absent for
two lessons of one course, she needs to contact the student with email or phone call to ask
the reason and make sure that student would attend classes so that he/she would not be
dropped out of the class or the school. If necessary, Fiona would need to contact the
student’s parents and inform them of the situation. During this process, she needs to be
familiar with how to search the information she needs in the database of the school
system. But at the same time, school system would be changed a little bit sometimes by
the IT people in the university, to make sure the update of the huge amounts of
information and maintain the stability of the system, which is very important to help
other staffs working with the university’s computer system at the second place.
What’s more, at the beginning of each semester and during the end of every
semester, students are welcomed to go to CASA for recommendations of how to arrange
their courses for the coming semester. In order to provide the best plan for students,
student advocates are trained with the knowledge of degree planner and sail websites so
that they would be able to find what classes these students still need to take and which
professors are available next semester. More wisely, she might give suggestions on which
professors the student should take according to their study methods. This requires Fiona a
lot of effort to get to know the content of many classes, not only focusing on all the
business classes, but also other major courses for these students who come to CASA
asking for help are from all different majors.
When it comes to the work Katherine are asked to do, the first is to find research
papers for the professor when she needs to write research papers for various journals. To
find useful resources, Katherine needs to take full advantage of the school library
database as she learned how to search scholar articles and journals on the website in the
workshop. After finding the articles meeting the needs of the topic, Katherine will
download it to the computer and after scanning it, she will write a brief summary of each
sources before sending to the professor. And it is also necessary for Katherine to keep
every version of the paper work of the assignments she finished as the professor would
need the previous work some time. Sometimes, it is necessary to put all the summaries
into a table to see the similarities and differences of the works. Besides, grading the
online quizzes and posting it on blackboard is also one of her main tasks. Then she has to
be very familiar with blackboard settings. To make sure every student get the feedback of
their grades or they show up in the exam, sometimes it’s Katherine’s responsibility to
send emails to remind student the accurate date of the exam schedule. However, the most
important part of Katherine’s work is to correct students’ mistakes they made in the
homework document, which takes her a lot of time adding comments utilizing the tool of
word documents or excel. By the way, when she is taking attendance of the online class
students, it is easier for her to quickly settle the names and dates using excels, which is a
specific kind of data resource management way.
