on profit. As we shall realize, low productivity is brought about by a number of factors. Most of
these factors can be overcome by taking a number of measures. From the report we can also
conclude that some of the causes of low productivity comes from the management while others
come from the employees. It’s the role of the firm to analyze its hindrances towards good
productivity because most of them are internal.

JUSTIFICATION REPORT
The root cause of the problem
The statement problem is productivity within organizations. Productivity refers to creation of
goods and services. This outputs are created for the purpose of satisfaction of human needs. This
is the key function of any organization. In the process of productivity inputs are brought together
so that we can come out with outcome. Firms employ factor of production some that they can
efficient produce with existing technology. Every firm will try its level best so that they can cut
down the cost of producing their commodities. Many firms close down their activities due to
high cost of operations this costs include the cost of raw material cost of paying employees the
taxation by the government among others. Production is highly influenced by other
environmental forces which may be internal or external factors. Internal forces are those forces
which the organization can full control. On the other hand external forces refers to the factors
which are behold the organization control. It is upon the firm to operate within this environment
according to avoid any loss which is caused by any of the above factors. The aim of the
organization is to lower the cost of production and maximize on profit. Whenever the
organization fail to take control of these force it will be faced with the threats of closing down.
There are many problems which are associated with the low productivity in organizations they
include,
Poor management
Managers who are not committed in the implementation of the plans will easily lead to poor
performance in terms of output. As we all know the manager is the head and influencer in any
organization. He should direct others towards the positive direction. For this purpose if he is not
motivated in the business affairs it means that even his followers will fall in the same track of
being less concerned about the firm. As a result this will obviously lead to low productivity in
general.
Obsolete machines.
When the firm does not consider the current trends of new technology, the business is likely to
yield poor results. In the present era there are many changes that are occurring in terms of
machines used in the operations of the firms. This is forcing the companies to be much aware
about these new trends so as to be at per with other firms. With this in mind it is evident that if a
company still continues to use outdated machines, it will perform poorly and also take a lot of
time. As a matter of fact old machines are slow and are also vulnerable to breakages which calls
for a lot of money for repair and maintenance cost.
Demotivated employees.
Demotivation can be as a result of a number of factors but despite the source of the demotivation
it have negative impacts towards a company’s productivity. The major causes of this factor are
poor remuneration, work overload, too much rules and regulation and poor employee welfare.
Once the employees are poorly paid they are likely to work lazily due to financial crisis they will
experience. Each one of us needs money for the purposes of meeting their daily expenditures.
Therefore lack of compensating amount of money from the work you do leads to stress which at
the long run will give low output. Also when they are overloaded with too much work beyond
their efforts they will be doing it just for the sake of finishing. In other words they will be
carrying out their tasks with low commitment leading to negative outcomes. Many rules and
JUSTIFICATION REPORT
regulations are additionally a barrier to good productivity since employees feel as if they are
being humiliated by the supervisors. Lastly lack of motivation may be also as a result of absence
of employee welfare .when the employees are not taken good care of they will reciprocate that
with poor results which in the greater extent is poor productivity of the firm. These welfare could
be in terms of promotions, rewards, effective communication channels, in service programs
among other.
Job insecurity.
When the workers are not so much aware of the life of the business, they are likely to have low
output. This is a usual occurrence especially where the employees see the likelihood of that
business collapsing or retrenching some workers. With this idea running in their minds they will
feel insecure and will be working with minimal commitments. Some of them will also be
searching for jobs elsewhere secretly.
Family spillovers.
Some of the people in the company carry their stresses from their families to the job places. This
poses a negative influence to the firm. When one is stressed he/she tends to spend much of the
job time thinking about the stressor rather than concentrating on job matters. If this is not solved
immediately it will always affect the performance of the business on the negative direction.
Therefore the organization has to look at all the possible alternatives evaluate them properly so
that the can select the most effective. Which has reasonable cost and can bring more benefits to
the firm rather than loses. There are number of alternatives which can be adopted by the firm to
lower the cost of production. They include the following:
Alternative solutions that needed
Breaking down productivity into smaller units which can be easily managed. Each unit is assign
to an individual who have great skill in that areas that the skill can be utilized in a ways that the
organization will benefits maximally. Small units are easier to manage than big units as the
decision making concerning a particular issue is very simple due to few consultations among the
members of the department.
Education and training of the employees on the best skills to be adopted in the productions of the
firm. Once the employees are well qualified for the job the productivity will be high. To add on
that recruiting the most experienced personnel will increase the output of the firm. The good
professional will be good time keepers and they are committed to their task. They also work with
very little or no supervision.
Another alternative is adopting of technology in production. The use of the machines will cut
down the cost of production with big margin. For the number of the employees will be reduced.
Machines also work faster without getting tired as human being.
Additionally the firm can also be rewarding the most Harding working employees through
promotion and increasing their salaries. This will create the culture of completion within the
organization. This will result to increased output per employees. It will motivates the workers to
work more for the betterment of the organization performances.
JUSTIFICATION REPORT
The other solution could be benchmarking. This is where the company goes to research on how
other successful companies carries out their operations. Generally this will yield a lot of
information which would positively influence the productivity. Although not everything that
worked for another company would work well for this particular organization most of them
would help.
Criteria of choosing from the best alternatives
The best alternatives to be adopted by the firm to reduce the cost of production is use education
and seminar training of employees and use of technology in their methods of production. In this
case employees will be trained how to use modern technology. The employees who have
undergone through the course will be in position to meet the expectations of the organization.
When the employees are trained they will get exposed to better and conservative methods of
production. For example they will be in a position to use resources effectively without wastage.
The moments there is no wastage the cost of production goes down resulting to higher
productivity and higher profits. Use of the current technology will increase the output per unit
time and save on capital that could be used to pay workers. Once the tasks are carried out by
machines a lot of human capital is saved and that money is invested in the company for the
purpose of increasing productivity. Also application of division of labour and specialization is
another better criteria. When individual are assigned in areas they are best suited in will increase
the productivity greatly. This is because when one does what they like they use less mental and
physical effort thus saving on time and resources. Division of labour is also necessary because it
breaks down the production process into small stages and each of these stages is assigned to one
individual or a group of people. With this strategy people are able to know their roles and work
effectively towards achievement of the goals of the company which all lie towards good
performance.
Findings and analysis
As per my evaluation it is evident that if these measures are taken into account they will solve
the problem of poor productivity in the company. They will reduce the cost of production and
maximize the profits. This strategy will enable the firm to carry out its operations efficient and
effectively. To add on that there will better management of resources since the employees will
be more educated on wise use of business resources. There will also be higher productivity when
all the individuals knows their roles and does what they are best suited at.
Recommendations
The organizations should provide conducive working environment for the employees. This will
make them be committed in their duties and responsibilities. In addition to that the organization
should be focused on future of their employees by ensuring that they have pension after
retirement. Managers in organizations should have the department for offering counselling to the
workers who are suffering from the financial stress or family issues. The managers in
organizations should be guiding their subordinates how implementing the plans of the
organizations.
