organization. The management information systems (MIS) have been installed for the

purpose of ensuring that various operations in the firm are perfected. This has led to
improved organizational productivity, increased competition power, better organization of the
company projects, and improved communication. With such advantages, this system can be
seen to be playing a crucial role in the organizational performance. It could be associated
with an upgrade system through which the management can improve its activities. Therefore,
we will look into the different contributions of this system to the organization.
First, the management information systems are necessary for eliminating
organizational risks. Every firm is prone to different risks that are from either the internal or
external environments. The internal risks involve failure of the operating systems which
contain crucial production data. The MIS provides the necessary security to ensure that every
information is safely stored. Externally, an organization can be prone to system hacking
which can make its private information go viral. The management has to provide the
necessary security to avoid such situations (Ingram, 2017). These risks are encompassed in
the model of the management information system. Also, the information on any occurrence
which has the potential of a risk is communicated effectively through the system.
The simplicity of using a product is a major part of the adoption of such a product.
Management information systems are designed in a way that they provide a simple interface
for the purpose of the user. Although it has to provide the necessary security for the
organization, the user has to be satisfied with its operations by first understanding how it

The managers require having systems that can offer sufficient backup and storage for the
company’s information. This function helps the organization in accessing any of this crucial
information whenever they require it for use. Apart from storing, the safety and sufficiency of
the system matter a lot. Therefore, the MIS requires having sufficient storage capacity since
the organization can have volumes of materials that need to be securely placed in the system.
The MIS also ensures that the storage does not get corrupted with time thus it has to be secure
from external viruses and malware.
Data transfer from one device or system to another is a daily occurrence in any
organization. The transfer could involve classified information or data which is destined for
specific authorities. The organization’s MIS is required to ensure that this process happens
without any compromise or risks. Therefore, it is expected to have features which can help in
specifying the destination as well as the specific file or information being transmitted
(Chetan, 2017). The system should also provide assurance of safe transmission in the face of
system failure. This function ensures that the company’s data is securely handled without
unnecessary mistakes.
Management information systems occur in five different forms. The first is the
marketing management information system. As the name suggests, this category of MIS is
involved with the marketing factor of the firm. This includes providing information about the
market dynamics whereby the changes in the market environment can affect the functions of

determining the prices of its products by comparing with those being offered in the market.

level of production. The manufacturing sector requires such information and direction to
ensure that the company does not have excess in its stock. Also, it provides information about
the raw material availability and prices. This helps the management in selecting the raw
material vendors who can provide quality and affordable materials (Boykin, 2017).
Therefore, such systems are necessary to control the costs and volumes of production in the
firm.
The third principle is the finance factor of an organization. The management
information systems offer the financial management function to the organization. The
financial factor is a delicate subject for any organization. The management may find it
difficult to control the finances without the help of a sustainable system. Therefore, the
financial management information system helps in controlling the flow of money in the firm.
It provides indicators on when the outflows exceed the inflows and when there is a project
that has stopped yielding. Also, it is crucial in giving the overall financial position of a firm.
The fourth principle is having the transaction processing system. One function of the
management is to follow the organization’s transactions and other processes which involve
payments. One way of monitoring the way through which such transactions are carried out is
by first accrediting their quality and completion. The system involves the management
through clearly indicating the nature of the transaction and the involved party. Also, this

in the firm. These are connected in a way that they share a common database. Apart from the
four principles outlined here, the other organization activities have to be monitored and
directed through this system. Therefore, the MIS has to be formulated in a way that it
manages all the company affairs in unison. The success of the firm highly depends on the
contribution of the MIS since it entails the most sensitive part of the firm which is the
information. It is, therefore, an important part of the management which should be properly
considered during installation.
